TERMS & CONDITIONS
The Soulful Wellness Retreat (herein, the Retreat) is run by Kahle Therapy & Consulting Services Inc. (herein, KahleTCS). Your information, as a Retreat Participant, is provided to Kahle TCS for the purposes of intake, travel booking, medical, emergency contacting, itinerary planning, promotion etc.
The Soulful Wellness Retreat is to provide a safe and inclusive space for you to experience rest, rejuvenation, and community through self-care and time away from your normal routine.
GENERAL WAIVER: The participant acknowledges that there are inherent risks involved in
travel and recreational activities, and hereby releases and holds harmless Kahle Therapy &
Consulting Services Inc. (herein Kahle TCS) and Soulful Wellness Retreat leaders from any and
all liability for injuries, including those resulting in death, and/or illnesses incurred while
participating in the retreat.
The General Waiver Agreement, media release and medical/emergency contact information must be signed in order to participate in the retreat.
THE RETREAT CONTENT & STRUCTURE
Before the Retreat
You will be provided with:
An itinerary
A suggested packing list (This list is intended as a guide, and you are to use your own judgement and make about what you will need)
An information guide for all planned activities
While there are planned activities the retreat is intended to be flexible and adaptable, leaving room for the retreat to evolve to suit the participants. All activities are entirely optional, and your participation requires a voluntary assumption of risk. However no refunds will be issued for any pre-paid activities .. If you choose to participate in activities not included in the itinerary you are responsible for your own transportation.
Tipping for service is at your discretion.
TRAVEL ARRANGEMENTS: Kahle Therapy & Consulting Services and Soulful Wellness retreat leaders assume no responsibility or liability for losses due to cancellations, baggage delays, flight changes, missed flights, inappropriate documentation etc. Retreat participants are responsible for seeking refunds on their tickets from their travel insurance provider, airline carrier, or travel agent from which their ticket was issued. Retreat participants are responsible for having the appropriate travel documentation. Transportation to the airport on July 3, 2026 and from the airport on July 10, 2026 are the responsibility of the participant.
Retreat Deposit, Airline & Cancellation Policy
To ensure clarity and fairness for all participants, please review the following policy carefully before submitting any deposit.
400 Commitment Deposit (Recommended)
• A $400 deposit fully secures your spot on the retreat.
• Once submitted, there is no cancellation period.
• Airline seats are purchased outside of a group booking and are ticketed at the time of booking.
• Once an airline ticket is purchased on your behalf, your spot is finalized and non-refundable.
• The airline does not issue refunds. If cancellation becomes necessary, the airline may issue a credit in your name, subject to their policies.
• Any remaining balance of your airline ticket must still be paid to Kahle Therapy, as the airline credit will be issued in your name.
• A $200 interest deposit may be submitted by January 9.
• This deposit is fully refundable until January 16.
• No airline ticket will be purchased on your behalf with this option, allowing short-term flexibility.
• This deposit does not guarantee or confirm a spot on the retreat.
• Participants who submit the $400 commitment deposit and have airline tickets purchased will be prioritized if space becomes limited.
• If the retreat fills before an interest deposit is converted, the interest deposit will be refunded according to the above timeline.
• In the event of cancellation, although there is no distinct cancellation fee, a reasonable effort will be made to secure a replacement participant; however, if a replacement is not found within 30 days of the cancellation date or at least 45 days prior to the retreat (whichever occurs first), the cancelling participant shall be responsible for 50% of the total retreat cost, exclusive of airfare (as airfare is returned to the participant in the form of airline credit), in order to cover nonrefundable items and vendor fees that have been secured; for example, a retreat fee of $3,300 would result in a payment obligation of $1,650 payable to Kahle Therapy & Consulting Services.
Acknowledgement
By submitting a deposit, you acknowledge that you have read, understood, and agreed to the above deposit, airline, and cancellation terms.
INSURANCE: All retreat participants are strongly advised to get insurance to ensure their adequate coverage for the full duration of the Retreat with respect to possible illness, injury, death, property damage, loss of baggage and personal items, cancellation and/or curtailment, and/or any other potential losses, damages, costs, expenses, or liabilities (collectively “losses”). Participants are solely responsible for any losses related to their failure to procure travel insurance.
PAYMENT: All prices are in Canadian dollars and include GST where applicable. Payment to the majority of vendors is in USD. All payment plans must be completed in full on or before May 1, 2026 - no exceptions w/o penalty (+50.00 late fee). The cost of the retreat includes return airfare, airport transfer, double or triple occupancy accommodations, excursion(s), and some meals, as outlined in the final itinerary. It does not include travel insurance, dining out, ride shares, tips or concert tickets (if applicable).
ACCOMODATION: The retreat is held at third party premises. Accommodation is included in the cost of the retreat package. Although Kahle TCS chose the venue carefully, they have no control over, or liability for, any claims or issues with the venue. Wi-fi is access is provided by the venue. Any costs or charges associated with your use of mobile data are entirely your responsibility. Please be respectful of the venue and its surrounding environment. All Participants must keep the retreat venue’s fixtures, fittings, furniture and effects in a clean and good condition.
MEDICAL RESTRICTIONS: Any Retreat participant with a disability, pre-existing medical condition, or medical history requiring special attention or treatment should advise the retreat organizers as soon as possible, and are advised to consult with a medical specialist prior to attending the retreat.
DIETARY RESTRICTIONS: There will be a chef prepared meal. Participants must notify Kahle Therapy & Consulting Services of any dietary restrictions as soon as possible. We will work to cater to food restrictions and allergies but may not be able to accommodate food preferences.
CONFIDENTIALITY: The retreat is collaborative community experience which involves honouring each other’s values and beliefs. When people gather together, we all come with our emotions, vulnerabilities, thoughts, stories, triggers and trauma. Please do your best to ‘hold space for each other. It is required that everyone respect the confidentiality, privacy, and emotional safety of other participants.
MEDICAL TREATMENT & EMERGENCIES:
If, in the event of a medical emergency, assistance is called on your behalf, you agree to receive treatment as recommended by medical personnel. Should you decline treatment, you do so at your own risk, and cannot hold Kahle TCS liable for any resulting harm.
PHOTOS, VIDEO & MEDIA RELEASE:
You are welcome to take and share your own photos while on the retreat, while always being respectful of the wishes of other people who may be in the photos. Please tag @kahletcs, and use the hashtag #KahleSoul if you are sharing photos on social media! The media release applies to all photographic and/or video recordings collected as part of, in connection with, or during the Retreat (by Kahle TCS or any authorised third party). Some images from the retreat will be electronically displayed on the internet or in other public settings. You waive the right to approve any images/recordings, to royalties or other compensation arising from or related to the use of your likeness. There is no time limit on the validity of this release nor is there any geographic limitation on where materials including your likeness may be used. Kahle TCS ensures that all such material will be unobtrusively obtained, carefully chosen and sensitively edited to showcase the retreat experience while maintaining the safety and connection of the experience.
LIMITATION OF LIABILITY:
This retreat is undertaken of your own free will and desire to participate. In the event of a failure to deliver due to circumstances beyond Kahle TCS’ control (i.e. natural disaster, pandemic, high risk situation, vendor failure etc.) will not provide grounds for a refund. Should there be reason for a cause of action, not accounted for within this document, Kahle TCS’ total cumulative liability of any kind shall not exceed the amount that you paid for your retreat package. In all other matters, you waive any claims to compensation to the full extent that might be permitted by law.
JURISDICTION:
Kahle Therapy & Consulting Services Inc. is based in the province of Ontario. The validity, interpretation and performance of the Terms & Conditions of this retreat agreement will be governed by the laws of Ontario and the Commonwealth of Canada.
